We are currently seeking a talented and motivated Operations Coordinator to join our Operations team, supporting our day-to-day operations and contributing to our success.
As ATB's next Operations Coordinator within our Operations team, you will play a crucial role in ensuring the smooth functioning of our department. You will provide administrative support, project management assistance, and change management coordination. This is an exciting opportunity for an individual with strong organizational skills, a proactive mindset, and a passion for supporting operational excellence.
Responsibilities
- Assist in managing day-to-day administrative tasks, including scheduling stakeholder events, coordinating calendars, and maintaining files and records.
- Collaborate with team members to support project management activities, ensuring timely delivery of projects and tracking progress against objectives.
- Coordinate and provide oversight on Direct Mail campaigns that are produced by CCM. Interact with the mailhouse, facilitate proofing process, transmit data files and properly store digital artifacts.
- Plans, coordinates and facilitates change management initiatives, including communication plans, training sessions, and stakeholder engagement.
- Prepare and review reports, presentations, and documents, ensuring accuracy, readability/clarity and adherence to established guidelines.
- Create and/or maintain CCM documentation/materials related to process, learning, guideline, and criteria on a central hub.
- Support budget management activities, including tracking expenses, processing invoices, and maintaining financial records.
- Actively participate and aid with Resourcing activities, RFP development & assessment, Vendor performance assessments, and to engage & track budget for qualified/vetted resources.
- Assist in organizing Operations team events, workshops and learning sessions, ensuring seamless logistics and coordination.
- Act as a liaison between the Operations team and other departments, fostering effective communication and collaboration.
- Support when necessary, Onboarding/Offboard activities with equipment requests, access, welcome events and training.
Requirements
- A team player mindset, including a willingness to build strong relationships and collaborate with team members and stakeholders
- Minimum of 3 years of experience as an Operations Coordinator or Project manager or similar role
- Strong organizational and time management skills, with the ability to handle multiple tasks and prioritize effectively
- Excellent written and verbal communication skills, with a keen attention to detail.
- Proficiency in Google applications (Docs, Sheets, Slides, etc) and at least an awareness of project management tools.
- Experience in project management and/or change management is highly desirable
- Ability to work independently and collaboratively within a team-oriented environment
- Proactive and solution-oriented mindset, with the ability to anticipate needs and take initiative
- Proficient critical thinking and problem solving skills
- Strong interpersonal skills, with the ability to build relationships and work effectively with stakeholders at all levels
